Privacy Notice
Last updated: 29 September 2026
This Privacy Notice explains how Loike handles personal data, in line with applicable Malaysian law, including the Personal Data Protection Act 2010.
1. About this Privacy Notice
This notice applies to the Loike website, the Loike merchant app, Staff Access and the Loike customer queue pages. It explains what personal data is involved, why it is used, and the choices available to you.
2. Who we are
Loike is operated by ZEXARA SDN BHD (201601019850 (1190787-U)), a company incorporated in Malaysia ("we", "us" or "our").
- 46-2, Jalan Wangsa Setia 4,
- Wangsa Melawati,
- 53300 Kuala Lumpur,
- Malaysia
3. Businesses and their customers
Loike provides software to businesses. When a business uses Loike to record its own customers, queues, visits and payments, that business decides what information it collects and how it uses it for its customers. Loike stores and processes that information to provide the service to the business.
Businesses are responsible for having an appropriate basis or permission for the customer information they collect and use through Loike, and for telling their customers how it is used.
4. Personal data we handle
Depending on how you use Loike, this may include:
- Business account data: name, email address, sign-in and security information, account profile photo
- Business data: business, branch, service, price and staff details, business logo and store banner
- Customer data entered by or for a business: customer name, mobile or WhatsApp number, language preference, queue tickets, visits, requested and final services, staff who served, amounts charged and whether a visit was paid or left to pay later
- Staff Access data: staff name and photo, services the staff member offers, their queue and service activity, and sign-in/session information for Staff Access
- Purchase data: Loike Credits purchases and usage, monthly plan status, and Loike Stand orders including contact name, phone, email, delivery address and order notes
- Feature interest data (see below)
- Support and enquiry data: messages and screenshots you send us through Help & Feedback, and the name, contact details, business name and message you submit through our website contact form or by email
5. How we use personal data
- To run queues and let businesses serve their customers
- To recognise returning customers of the same business and show each business its own customer, visit and payment history
- To let staff see and handle their own queue through Staff Access
- To process Loike Credits purchases, monthly plans and Loike Stand orders, and to deliver stands
- To prepare WhatsApp messages that a business chooses to send (see below)
- To respond to support requests and keep Loike secure, including preventing fraud and abuse
- To understand merchant needs and improve Loike
- To meet legal and accounting obligations
6. WhatsApp Assist
WhatsApp Assist prepares a message and opens WhatsApp on the business's or staff member's own device with the customer's number filled in. The business or staff member decides whether to send it. Loike does not send WhatsApp messages on its own and does not read WhatsApp conversations. WhatsApp's own terms and privacy practices apply to messages sent through WhatsApp.
7. Feature interest and value answers
Loike may show pilot, preview or Coming soon features. When a business joins a pilot or waitlist, we record which feature it is interested in, the business and branch it came from, the date, and — only if the business chooses to answer — a self-reported monthly value range in RM.
We use this to understand merchant needs, evaluate demand and prioritise and plan future products and offers. Joining or answering is not a purchase or a commitment.
8. Terms acceptance records
When you create a business account or accept updated Terms, we record your user account, the version of the Terms of Use you accepted, the version of this Privacy Notice you acknowledged, and when. We keep this record to show which terms apply to your account.
9. Content shown on customer-facing pages
Queue and waiting pages may show content selected by Loike or by the business, such as recommendations, promotions or affiliate links. Loike chooses this content contextually, based on the business category and the selected service. We do not use a customer's name, phone number, spending or visit history to target it, and we do not build behavioural advertising profiles of customers. We may count views and taps in aggregate to run and improve this feature.
10. Payments
Payments for Loike Credits, monthly plans and Loike Stands are processed by our third-party payment provider, currently Stripe. Card and other payment-method details are entered with and processed by the payment provider under its own privacy practices; Loike does not store full card details. We receive payment confirmations and references needed to record your purchase.
Payment and settlement records that a business keeps for its own customers inside Loike are records entered by that business; Loike does not process those customer payments.
11. Disclosure / sharing of personal data
We do not sell personal data.
Customer information is shown only to the business that customer visited and its authorised staff. We share personal data with service providers that help us run Loike (such as hosting and database infrastructure, payment processing and delivery of Loike Stands) only as needed for those purposes. We may also disclose personal data where required by law or to protect the rights and safety of users and the public.
12. Data storage
Business account details, business and branch details, services, staff, Loike Smart QR codes, customer records, queue tickets, visits, service and payment records, Loike Credits records and Loike Stand orders are stored on Loike's online systems, operated with the help of hosted infrastructure providers.
Each business can only see its own information and customers. The same person's details held by two businesses are kept as separate records, and one business cannot see that person's record with another business.
The public Demo shop's simulated sample records run only in your web browser. Separately, if you give permission for demo follow-up, your business type, shop, area, name, role, preferred contact details and consent record are saved to Loike's hosted systems for authorised Loike HQ staff, even if you do not finish the demo. We use them only for demo and getting-started follow-up, not unrelated marketing. Daily rotating, non-reversible client-network hashes and shared counters help prevent abuse; raw IP addresses are not stored in Demo Contacts.
13. Data retention
Information on Loike's online systems is kept while the business uses Loike, and afterwards for as long as reasonably needed for the purposes in this notice, including record-keeping, resolving disputes and meeting legal obligations. Records of payments and Credits are kept as permanent transaction records.
Demo information stays in your browser until you clear your browser's site data for Loike.
Demo follow-up contacts expire 12 months after creation and are removed by daily cleanup within a further 24 hours. Loike HQ may delete them sooner; you can withdraw follow-up permission or request deletion at [email protected]. Non-contact retry hashes expire on the same schedule; abuse counters are removed within two days. Hosted-provider backups and request logs follow the provider's own retention, and are not represented as immediately erased by this cleanup.
To ask about deleting information, contact us using the details below.
14. Security
We take reasonable technical and organisational steps to protect personal data, including keeping each business's information separate from other businesses and restricting access so that only authorised members of a business, or that business's staff through Staff Access, can see that business's information.
No online service can be guaranteed to be completely secure. Please keep your sign-in details and Staff Access codes private and use a device you trust.
15. Cookies and local browser storage
Loike does not currently use advertising or analytics cookies.
Loike uses cookies and your browser's local storage to make the service work — for example to keep you signed in, keep a staff member signed in to Staff Access, remember your chosen language, remember your place in a queue on your phone, and run the Demo shop.
You can clear this information through your browser settings. You may then need to sign in again.
16. Access and correction / privacy choices
You may ask to access or correct your personal data, or ask questions about how it is handled, by contacting us using the details below. We may need to verify your identity first.
Customers can also contact the business they visited about the information that business keeps. Businesses can update their own business, service and staff details within Loike.
17. Children's privacy
Loike business accounts are intended for adults. Loike is not designed for children to use on their own. Where a child receives a service, a parent or guardian should provide the details needed to join the queue.
18. Changes to this Privacy Notice
We will update this notice as Loike develops. The date at the top shows when it was last updated.
